Using the Lab Shared
Folders |

The Lab Shared Folders can be used to record calendar
events and tasks that will/may impact other activities in the Lab. These
instructions will show you how to access the Lab Shared Folders on ALFE
and copy items between the Lab Shared Folders and your Personal Folders.
Where multiple screenshots are overlaid in the instructions consider
them as "stages" of an operation, not that you'll necessarily have
multiple windows open (although this is possible). |

Opening the Lab Shared
Folders in Microsoft Outlook |

The Lab Shared Folders file is located on ALFE in the
following location…
\\alfe\users\admin\Lab Shared Folders.pst
From the File menu in Microsoft Outlook select
Open->Outlook Data File… (do not browse to that
location and double-click the file!)

Using the Look in… drop down control in the Open
Outlook Data File dialog box browse to the shared directory and open the
file named Lab Shared Folders.pst.

Once open, you should now see the Lab Shared
Folder tree in your folder list in Outlook…

Copying items between
Personal and Lab Shared Folders |

The easiest way to copy items between two Calendar
folders is to press and hold the SHIFT key while using your left mouse
button to select and drag the item from the display of one folder to the
folder you want to copy the item to.

Only one item at a time can be copied between the
Calendar Folders but multiple items can be copied/moved between the
Tasks folders. For tasks it is best to select the items to copy/move
then to use the right mouse button to click and drag from the source to
the destination folder. This will cause a Move/Copy/Cancel popup menu to
appear allowing you to select the desired action.

Finally, you should always keep local copies
of your calendar, task, note, and contact items in a personal folder on
your computer. The Lab Shared Folders can become (and has been!)
corrupted rendering all of the shared items unavailable. I've
implemented a backup strategy for the Lab Shared Folders.pst file but
you might want to be extra careful. |

Disconnecting from the Lab
Shared Folders |

When you are done viewing and/or modifying the Lab
Shared Folders you need to disconnect so that others will also be able
to open them (single user access only). This is most easily done by
right-clicking on the Lab Shared Folders item in the Folder List and
selecting Close Lab Shared Folders from the popup menu.

Due to a bug in Outlook you must also
quit Outlook (and optionally restart it if you want to continue using it
locally) so that a stray file lock will be released and other can access
the Lab Shared Folders.pst file and so that it can be backup up on a
regular basis. |
